Car Rental Specialist SIXT AG Opens Digital Mailroom Using ITESOFT solutions

ITESOFT, a leader in automated document processing, has announced the successful start of a 'digital mailroom' project using ITESOFT's FreeMind solution at SIXT AG, the largest German car rental company and a leading European mobility service providers.

With its digital mailroom, SIXT AG aims to capture and process more than 50,000 documents of up to 20 pages per document each month. FreeMind will capture every single page, extract the relevant data and forward the information to subsequent systems, such as finance or archiving under compliance restrictions.

The range of documents captured includes supplier invoices, vehicle invoices, shipping receipts as well as certificates, tax assessments and hand-written complaint letters. Instant digital capturing of the documents arriving by post, email or fax allows SIXT to streamline its administration processes in a more secure, transparent, efficient, and above all, faster way.

"SIXT AG constantly strives to improve service quality and productivity. We are pioneers in using innovative technologies such as online transaction of rental and leasing processes or biometric signature identification. And we aim to work almost entirely electronically. With 3,500 pages of paper arriving daily at the company's headquarters in Pullach near Munich, there is a lot of room for improvement. With ITESOFT we have chosen the right partner. ITESOFT's solution convinced SIXT with its high recognition rates, fast processing, reading of single positions and a good price performance ratio. The software's multilingual support was another advantage as SIXT plans to integrate all German sites into the digital mailroom project plus its international subsidiaries.

The immediate digitisation of documents saves SIXT the trouble of having to request new copies of misplaced or lost documents and provides authorised staff with instant access to data. Within seconds the current processing status can be seen on the monitor. As every single step can be tracked, transparency and security are increased. Routine tasks such as checking the accuracy of an invoice and compliance with all legal prerequisites are automatically performed by FreeMind thus easing the burden of highly qualified staff.
