DocuLex Provides 'Instant Document Access' Integration with eCopy

DocuLex announces integration of the company's automated electronic document management system DocuLex Archive Studio with eCopy ScanStation touch screen terminals.

The integration enables users to access Archive Studios complete document management system through eCopy's external touch screens at the point of document scanning. The integration provides a convenient pathway to automated content indexing, image processing and custom document file foldering, with retrieval access from any location via the Internet.

 

About DocuLex Archive Studio

DocuLex Archive Studio consists of two programs: Goby Capture and WebSearch.

Server-based DocuLex WebSearch provides electronic document access throughout a business's local and field operations, with the ease of use of an Internet search engine, providing 'Instant Document Access' from any location. The program's SQL or SQL Express database support accommodates substantial file volumes, providing users with Microsoft's off the shelf database power. The Active Directory integration enables heightened security via access permission grants and subsequent tracking. WebSearch also serves as a document hosting facilitator, with PKI providing encryption and digital signature security for outsourcing daily use information access to stored electronic files.

The program manages SSL remote security and retrieval of various file formats including MS Office, PDF and email, with retrieval tracking and activity logging assists with compliance of privacy laws including HIPAA and Sarbanes - Oxley.

Beneficial to the user is an updated, visually appealing interface, with functionality similar to an Internet search engine key word query. The server based software automates complex document organizational functions including file room views, providing a visual representation of hard copy document's storage housed in a physical records library. This creates a low maintenance environment ideal for small businesses and departmental entities within larger organizations, as well as for hosting service companies.

Goby Capture is an easy-to-use program provides simplified paper document conversion and electronic capture of Microsoft Office files (Word, Excel and Outlook e-mail) by automating image processing functions at the document server. Distributed capture capability is provided for an unlimited number of users throughout an organization via the program's Profiler document identification freeware, in tandem with the server-based Monitor image processing program.

With DocuLex Goby Capture, intelligent cover page technologies allow documents to be profiled and cataloged prior to scanning.  Indexing criteria may be added via optical mark recognition or 2-D bar codes created with user-defined content.  This allows documents to be scanned, indexed and organized electronically, then forwarded to the users desktop, file archive and to the document management system.  The eCopy kiosk adds the capability to key in the index values at the copier without a cover page.

Electronic documents are capture, indexed and delivered to the same archive folders where paper documents are archived, and are saved in their native file format, and indexed, archived and ready for secure access from anywhere at anytime.

Goby Captures Monitor component is server based and recognizes the Profiler cover sheet, fully indexes the accompanied document, names the file then forwards the fully searchable PDF or MS-Office file to the user-defined destination. The destination may be one or many locations, including FTP address, email, printer, network, local folder and the users desktop. The program includes enhanced optical character recognition (OCR) accuracy with 24 bit color and 256 grayscale JPEG and uncompressed TIF support, and the addition of 500 Windows fonts to the master library of the automated, network paper-to-electronic document conversion software.

Goby Captures advanced features include a unique file transfer feature providing automatic folder creation and custom folder and sub-folder naming based upon document profile values set by the user. Monitor includes Profile Mark Form recognition for ease of custom indexing and easy sub-indexing of nested document.  Monitor has the ability to output PDF or TIF files accompanied by a CSV or XML index file, providing support for output to all prominent document management systems.
