Standard tamper-proof archiving at the touch of a button

In the wake of the market launch of the latest Microsoft Office product line, DocuWare announces the integration of its document management system, DocuWare 5, within Office 2007. Documents can be stored directly out of Microsoft applications for tamper-proof archiving.

The toolbars of Office 2007 applications - such as Word, Excel and PowerPoint - have been enhanced with a unique "storage function" icon. By clicking this button, users can directly archive their work in the central DocuWare document pool. It immediately opens the DocuWare store dialog for entering or viewing index criteria.

Automatic E-Mail Filing

DocuWare automatically stores e-mail received or sent through Outlook 2007. E-mail properties - such as sender, subject and date - are automatically imported as index criteria for storage. An administrator chooses which folders will be monitored for automatic archiving. Filters can be set-up to include/exclude certain addresses; only e-mail that meets a user's specific requirements will then be stored. By defining storage parameters and setting up the automatic indexing process, a user can determine which e-mail is stored with which index criteria and in which file cabinet. Once stored in a file cabinet, all security mechanisms are available for restricting access to certain users or groups, for whole file cabinets or by individual documents - all according to the index entries supplied.

When set to the semi-automatic mode, a user may also manually initiate storage by dragging an e-mail onto a folder. DocuWare then handles the automatic indexing and stores e-mail in the appropriate file cabinet. Attachments can also be stored separately.

More Efficient Workflows

As Juergen Biffar, President of DocuWare AG, states: "Only by storing all paper documents and all electronic data associated with a process in a well-structured way, can you truly accelerate business processes and the flow of data within a company. For this reason, it's critical to fully integrate Office 2007 applications directly within a central archive."
