TOPCALL combines MFPConnect and Kofax VirtualReScan

Excellent fax and scan quality with multifunctional devices enables automated business processes

TOPCALL International AG, a global provider of unified communications technologies, now offers a combination of the TOPCALL solution MFPConnect and Kofax VirtualReScan (VRS). VRS optimizes the image quality of documents scanned via multifunctional peripherals (MFPs) and transmitted via fax. The considerably enhanced image quality allows for compressed storage of the electronic documents and automated capture of the relevant data. This is how TOPCALL enables its customers to consolidate their internal data processing, to store information in line with compliance requirements and to make information available for downstream applications.

The Kofax VirtualReScan solution provides real-time optimization of the image quality of scanned documents by automatically checking and, if required, adjusting the alignment of the document and brightness, contrast and image clarity. In addition, the software suppresses noisy backgrounds and shaded areas, resulting in ultra-compact image files ideal for rapid on-screen display and space-saving archiving. These features run in the background and significantly increase the efficiency of optical character or handwriting recognition (OCR and/or ICR).

TOPCALLs MFPConnect seamlessly integrates all MFPs using the existing internal company networks. All documents scanned or faxed via MFPs are automatically captured and integrated in the existing ERP infrastructure of the company. In combination with the TOPCALL Communication platform, MFPConnect guarantees central archiving, monitoring and recording of all documents within a company that are sent or received via MFPs. As there is no more need for dedicated fax cards and analogue telephone lines for fax machines, MFPConnect reduces operating costs by up to 50 percent.

The combined TOPCALL MFPConnect and Kofax VRS solution makes manual editing unnecessary so that all requirements for a successful consolidation of the data processed via MFPs are created. By providing complete and readable contents for the purposes of traceable archiving, compliance criteria are met as well. As a result, capturing costs are reduced considerably and information can be accessed faster.

The use of MFPs in companies increases continuously thanks to their multi-functionality, says Rob Cooper, Product and Market Intelligence Manager of TOPCALL. Another technical innovation is the remote installation of VRS. This makes it possible for branches and offices of a company to benefit from this new industrial standard. Faxes and scans are optimized at the local office before they are further processed in the data capture process. VRS ensures optimal readability of the documents saved as VRS images and minimal file sizes. With around 40kB these files are much smaller than traditional image files which often require up to 2MB memory space. This massively reduces the volume of the internal data transfer. Capturing the documents on site also saves costs and prevents delays which would occur if the documents had to be transmitted to a central scanning site.
