Cogne, a global supplier of stainless and tool steel, has implemented Invu Document Management Software to streamline the administration processes of over 550 new documents per day. The reduced processes have led to improved service levels and savings of over 16 man hours spent searching for documentation daily.

Cogne is a global leader in the supply of stainless steel and tool steel which is distributed to over 1,600 end customers and stockholders. Steel as a structural raw material is subject to rigorous quality control and audits. Cogne must therefore produce test certificates to show that the steel is verified and meets its requirements for a range of specifications and results, with a typical working day producing in excess of 500 such documents.

Prior to implementing the Invu document management system, Cogne was sharing documents between three UK operations. In fulfilling customer orders from a number of sites and suppliers, Cogne would fax and receive test certificates which would then be matched to the relevant product batch taking up to 16 man hours a day. Delays in finding documents could compromise order fulfilment and delivery sometimes taking several days to locate the relevant documentation.

Through the use of the Invu Document management system, documents are routed between staff to be actioned and authorised. Documents are now processed quickly - converting time saved into costs, the search and retrieval savings are estimated at 120k to date.

Andrew Scrimshaw, IT Network Administrator, Cogne UK comments, "We were wasting thousands upon thousands of hours on the administration of test certificates. The Invu solution has had a real impact on our business which we couldn't have forecast; processes that took days are now measured in minutes and, at worst, hours."

Scrimshaw continues, "By understanding our requirements, Invu has managed to standardise the document flow and streamlined how we work. Invu is now essential to the successful running of our business and has saved us thousands of pounds in printing and administration costs."

Scrimshaw concludes, "The knowledge of the support team on the product and it's interaction with our specific environment is superb. We've saved at least 120,000 just on search and retrieval without considering the thousands we know that Invu saves us elsewhere in the business. Quite simply Invu is now essential to the running of our business."
