IT and Business skills provider, Global Knowledge, has completed the upgrade of its document process automation (DPA) system FormScape to Bottomline Technologies' Transform. Project managed from scoping to final installation and document migration by independent ECM technology and consultancy provider, The Content Group, Global Knowledge has upgraded the company's DPA system due to Transform's increased functionality and wider ability to integrate with other back-office software systems a critical ability that was lacking with Formscape.
Encompassing all aspects of the document process including inbound capture and delivery and storage, Transform is specifically designed to support and integrate with all other software systems, including Windows Server 2008 R2 and Microsoft Windows 7, which FormScape is not. Therefore, the upgrade to Transform will provide Global Knowledge the confidence that the business' infrastructure is technologically future proof.
Established in 1995, Global Knowledge offers IT and Business skills training courses to both public and private sector organisations across the globe. Initially installed in 2007, the FormScape DPA system enabled Global Knowledge to remove paper from the course booking process and instead retain all information in the form of electronic documents.
Kevin Addington, IT Director for Global Knowledge, comments, "Prior to implementing FormScape software, we relied solely on internal customer service teams across 11 offices to handle the high volume of physically delivered registration documents. Historically, this process involved members of the team manually processing the documents and sending out invoices and letters of confirmation both a costly process and an inefficient use of time."
Bottomline Technologies' Transform builds extensively on the previous FormScape solution, providing Global Knowledge with new features such as updated technology support, OCR technology and an all-new design and development environment that manages the complete document lifecycle, from the inbound capture of applicant data to the outgoing PDFs.
Addington continues, "The functionality that FormScape provided was crucial for our business processes, removing a reliance on paper and manual processes and vastly improving our efficiency. We were able to make substantial cost savings with the software, but were hindered by its inability to integrate with our other software systems. Transform on the other hand provides us with all the functionality of FormScape, and plenty more besides, but has the important added benefit of an open design that allows it to communicate easily with current software packages and any future versions. This in turn has allowed us to plan the growth of our business, safe in the knowledge that our infrastructure and back-office processes will not be undermined by new advances of technology.."
