Scottish Natural Heritage (SNH), the government body formed to help care for, conserve and manage Scotland's wildlife, habitats and landscapes uses Objective Corporation to simplify its record management in a bid to be a responsive, efficient and credible organisation.
The project is to enable the SNH to store, manage and deliver information in a co-ordinated manner, integrating and improving its information management to a level that meets the required government targets.
The previous paper-based records management systems at SNH had contributed to a number of inefficient practises, including misfiling,lost documents and inconsistencies in records. When new information was created it took time to locate the appropriate file and complete the necessary changes.
Senior managers approved the project to implement an electronic database to enable more robust management of documents and records and in so doing reduce the overall resources required to manage this aspect of the organisation's remit.
Objective Corporation was selected by a number of Scottish public sector bodies, it had the expertise and functionality SNH demanded. Objectiveimplemented a central EDRM server, three remote EDRM servers and three multi-server replication servers. The Objective team integrated the system with SNH's Groupwise email before migrating data about existing paper files from spreadsheets into Objective. Objective also laid the groundwork to enable integration of the EDRM module with its new web content management module.
Objective's EDRM is to completely replace the previous paper-based systems, leading to a reduction in storage costs and considerably reducing the amount of time spent sorting and organising the organisation's documents and records.
Staff are able to access records with ease, making adjustments and finding the correct information when they need it. Updates and filing is more manageable and the new system allows online access for staff to search for and find records and documents without leaving their desks.
Moira Munro, project manager at Scottish Natural Heritage, said: "We now have in place a solution which has enabled SNH to revolutionise the way in which we manage store and deliver data and information both internally and to our customers. I believe that with Objective now at the heart of SNH's information management toolset the organisation is well placed to meet and perhaps even exceed the targets set by the government."
