Macnair Mason Chartered Accountants cuts time to find crucial customer documents by 80%

INVU's electronic document management solution has been purchased by Macnair Mason to save time, money and improve working procedures and practices for the Chartered Accountants firm.

Macnair Mason, which advises clients from a wide range of industries, including insurance companies and brokers, Lloyds underwriters, legal firms and property developers and investors, has over 1500 customers on its books at any one time. Keeping track of the paperwork for each is becoming increasingly cumbersome, particularly in light of the increasing regulations affecting the sector.

"We have about 400 metres of lateral filing rack just for the documents relating to our clients," comments Graham Williams, managing partner at the firm. "Apart from the obvious environmental issue of paper usage, it was reaching a point where we needed a dramatic reduction in the amount of paper we were handling and storing. INVU's solution, coupled with the expertise from Scan Worx, will help us move towards that nirvana of business, a paperless office."

Any documents that arrive at Macnair Mason by fax, post or email, or those that are generated internally will be scanned and saved onto the document management system. The accounting teams will then be able to immediately access these digitally so that they can spend more time on providing advice to their clients both from the office and when working remotely.

Workflow will improve the procedures in the firm, will enhance the way that the firm works and will help Macnair Mason satisfy the requirements of the ICAEW's Practice Assurance Quality Standard.

Scan Worx is installing two INVU products at Macnair Mason:

server workflow

* i250 - document management on the Web with web-based

workflow

Using INVU's CodeFree Integration, Macnair Mason will be able to access or retrieve any documents from within any of its applications.
