Spanish Tax Authority Certifies DocuWare
 January 15, 2010

DocuWare users now adhere to the strictest of government regulations concerning the electronic storage of documents that need to be retained legally indefinitely or for a specific time period. The Spanish government has confirmed:  Spain’s Tax Authority certified the current version of the DocuWare document management software.

DocuWare S.L. (DocuWare’s Spanish subsidiary) had the document management system examined by an independent IT auditing company. The result: DocuWare 5.1 fulfills all of the requirements set forth by Spain’s Tax Authority for archiving paper-based documents. This includes Regulation EHA/932/2007 Article 7 and the resolution from October 24, 2007.

Some of the requirements for certification were that DocuWare must be capable of generating Qualified Electronic Signatures, which are added to scanned documents while digitizing. The system guarantees that its database, at the end of a given period, is signed and also that documents can be easily made available online to government authorities. Original documents can therefore be destroyed once they have been scanned and filed with DocuWare.

The Spanish Tax Authority has confirmed the legality of the document management system through this certification. Aside from the known benefits of space/cost savings and improved customer service, DocuWare users can now rely on the fact that all of their documents are securely stored in a way that meets all legal requirements for electronic retention.
