Focus on Optimising Processes

As part of a technology partnership, document management systems company DocuWare and OCR/capture specialist ABBYY are presenting the seamless integration of ABBYY FlexiCapture 8.0 Professional in the DocuWare 5.1 document management system. The integrated solution helps companies structure themselves more efficiently.

Companies receive loads of documents in paper or electronic form on a daily basis. Organising all of these materials in a document management system helps companies to save time and money. In order to digitize paper documents without a manual pre-sort, before linking them with other records and storing them all in one central document pool, it's often necessary to use a special solution for automatic data recognition and classification. The data capture systems from ABBYY, for example, are able to automatically extract the relevant information out of paper documents (such as invoices or delivery slips), which is then later used for indexing. These systems can handle structured or unstructured information for this purpose.

As part of a technology partnership, DMS pioneer DocuWare and the OCR/capture specialist ABBYY worked towards the seamless integration of ABBYY FlexiCapture 8.0 Professional in the document management system DocuWare 5.1. DocuWare President (Product/Finance), Juergen Biffar, describes some of the synergies created with the partnership: "Data capturing systems from ABBYY, like our DMS, are easy to use, implement and administer - all with a low Total Cost of Ownership. So even mid-sized companies are able to enjoy a well-priced solution to optimise their business processes."

Jupp Stoepetie, president of ABBYY Europe GmbH, feels that the flexibility regarding document quantities and types also helps mid-sized companies profit from the integrated solution: "The combination of our data capture solution and the DocuWare DMS helps every company achieve optimal document handling. From the capture of data all the way to its archiving, the entire paper flow is covered."

Business processes can be automated by using the captured data or portions of it for categorizing/indexing records as well as other parts of a workflow. For an invoice, for example, information such as vendor name, the sum and date can all be captured and fed to an accounting system and assigned to a cost centre, etc. Many other, more complex scenarios can of course be easily implemented as well.
