Countryside Council for Wales controls Document Mayhem with TOWER Software

Government's statutory advisor on natural beauty manages rate of information growth with TRIM Context electronic document and records management (EDRM) system

The Countryside Council for Wales (CCW) is deploying TRIM Context EDRM software for 500 users across 15 offices and many smaller locations throughout Wales to provide a structured records management system. The initiative was triggered by the rapid rate of growth of information with the organisation, which was making it increasingly difficult to find and share important documents and files in a timely manner. The new system from TOWER Software provides employees with an easy-to-use search interface and enables more collaborative working.

CCW selected TRIM Context following a detailed competitive tender based on its strong position in the market place and its ease of configuration. The small project team at the CCW was reluctant to divert valuable IT resources into EDRM development time, so opted for a product with rich functionality and easy configuration.

Jan Bennett, Head of the Knowledge Management Group at CCW explained, "All the functionality was already there, we just needed to personalise the system. We got the system up and running and the first users trained within two months and are now rolling it out department by department, training staff ourselves and using a super user network to help with on-going support. We are also using TOWER's professional services team and are extremely impressed. Their project management, application consultancy and support are outstanding. We have branded our system "Ffynnon" which in welsh signifies the source or origin."

David Oates, VP for TOWER Software across EMEA added, "Employee feedback at CCW is also very positive. They like being able to find the records they need, when they need them. They can also better share information securely which is absolutely key in a disparate organisation like the CCW that has a number of remote workers; some whom are literally operating on nature reserves."

CCW expects to have 10,000 documents in its EDRM system by June, and this number is expected to continue to rise steeply. It also plans to implement the workflow modules and integrate TRIM Context with CCW's existing business and operational systems. The CCW is the Government's statutory advisor on sustaining natural beauty, wildlife and the opportunity for outdoor enjoyment in Wales and its inshore waters.
